Privacy policy
Gator Water Polo, Inc. is a 501(c)(3) nonprofit water polo club in Gainesville, Florida. This policy explains what we collect when you use this website or register an athlete, who else sees it, and how to ask us to change or delete it.
What we collect
When you visit the site. Your browser sends an IP address, and the analytics and advertising services named below set cookies that record which pages you viewed and how you arrived. You can turn those off at any time on our cookie settings page.
When you send us a message. The contact form collects your name, email address, and whatever you write, plus a phone number and subject if you give them. We keep the message so we can answer it.
When you register an athlete. Registration runs on our membership system at app.gatorwaterpolo.com and collects the athlete's name and age, a parent or guardian's contact details, emergency contact details, and any medical information you tell us we need in order to keep the athlete safe at practice. Medical notes are encrypted in our database rather than stored as ordinary text.
When you pay. Payments are handled by Stripe. Card numbers go to Stripe directly and never reach our servers; we see that a payment succeeded, for how much, and for what.
At practices and events. We take photographs and video, and we use them on this site, in our newsletters and on our social media. If you would rather your athlete did not appear, tell us and we will take them out — see "Asking us to change something".
Who else sees it
We do not sell, rent or trade personal information. We share it only with the services that make the club run:
- Google — Analytics and Ads, loaded through Google Tag Manager, for visit statistics and to measure our advertising.
- Meta — the Facebook pixel, for the same reason.
- Stripe — payment processing.
- Brevo — the email we send about your registration and our programs.
- DigitalOcean — hosting for this site and the membership system.
We also disclose information where the law requires it, or where we believe it is necessary to protect the safety of a child, a member, or the club.
We email people who have registered with us or contacted us, about their registration and about our programs. We do not run a general marketing list and we do not add people who have not asked to hear from us. Every message we send has an unsubscribe link, and unsubscribing does not stop the email you need about a registration you have made.
Children
Most of our athletes are children. This website is written for parents and guardians, and registrations are made by an adult on a child's behalf — we do not ask children to create accounts or submit information themselves. If you believe a child has given us information without your involvement, contact us and we will delete it.
Asking us to change something
Email coach@gatorwaterpolo.com and we will tell you what we hold about you or your athlete, correct it, or delete it. There are things we have to keep — payment records for our accounts, and anything a law or a court requires — and we will say so if that applies. We do not charge for this and we do not treat anyone differently for asking.
Depending on where you live, you may have these rights by law rather than by our choice: residents of California, and of other states with similar laws, can request access to and deletion of their personal information, and can opt out of its sale or sharing. We do not sell or share personal information as those laws define it, and the same email address is how to make any of these requests.
Security
The site and the membership system are served over HTTPS, medical notes are encrypted at rest, and access to member records is limited to the people who need it. No system is perfectly secure, and we will not pretend otherwise; if we ever learn of a breach affecting your information we will tell you.
Outside the United States
Our servers are in the United States, and we run camps and clinics elsewhere — Canada, most recently. If you contact or register with us from another country, your information is transferred to and stored in the United States.
Changes
If we change this policy we will update the date at the top of the page. Material changes will be announced on this page rather than made quietly.
